A gemstone's purchase price and all of its associated shared costs (shipping, insurance, customs, certification) are known.
Approval
You approve the final landed cost — Procedure 4 (publication) depends on this being done first.
Procedure
Included costs: the supplier's price for the stone, plus its share of shipping, insurance, customs/duties, certificate or grading fees, and any other cost paid to get the stone into sellable condition.
Excluded costs: general business overhead — rent, software, marketing. These are never allocated per-stone.
When a shared cost covers multiple stones (e.g. one shipment, one PO), allocate it in proportion to each stone's purchase price within that shipment, unless a more accurate basis is obviously available (e.g. weight-based freight).
Enter the landed cost as the stone's Acquisition cost in the Grist data file (field guide) — there is no automatic fallback, so a stone with this left blank has no cost basis at all. Also enter it into Shopify's cost-per-item field before the stone is published, so margin reporting (Procedure 13) is accurate from the first sale.
If a shared cost arrives after the stone is already published (e.g. a customs bill settled later), update the landed cost and note the revision date — never leave it unrecorded.
