Operating Procedures

The source of truth for how Gem Candies runs day to day — from assigning a SKU to a new stone through monthly closing, including Make Your Ring orders. Each procedure lists who owns it, what triggers it, the steps to follow, what evidence to keep, and who approves it.

Current state — Shopify is on standby: the storefront isn't live to customers yet (see the launch checklist). Until it launches, every sale — online or off — is handled as an off-platform sale (Procedure 6), and Grist is the source of truth for what's in stock, reserved, or sold — not Shopify inventory. The procedures below describe the steady-state process once Shopify is live; where today's process differs, a note on that procedure says so.

Essential before launch

The minimum operational set. Nothing should go live without these being followed.

Needed shortly after launch

Not required for the first sale, but needed before volume, staff, or dealer relationships make informal handling risky.

Shopify procedures

Procedures for work done inside the Shopify admin, as the store moves onto Shopify as its system of record. They are written in ASD-STE100 Simplified Technical English: short sentences, active voice, one instruction per step.
